Customers change their minds, payments look suspicious, stock runs out. Whatever the reason, cancelling an order in Shopify is quick, but the choices you make in that small dialog matter: they decide whether your inventory stays accurate, whether the customer gets their money back promptly and whether your reports make sense later.
This guide shows how to cancel an order in Shopify correctly in every common situation. The short video above shows the main steps; below you will find the details, the edge cases and free message templates.
Cancel, refund, return or archive: know the difference
- Cancel: stops an order that has not been fulfilled. You can refund the payment and restock the items as part of cancelling.
- Refund: returns money for some or all items while the order itself stays open. Useful for partial problems, such as one damaged item.
- Return: records that items are coming back after delivery, so you can restock and refund when they arrive.
- Archive: hides a completed order from your open orders list. It does not refund anything.
How to cancel an unfulfilled order
- In the Shopify admin, go to Orders and open the order.
- Click More actions (or the … menu) and choose Cancel order.
- Refund: choose to refund the payment, normally to the original payment method. You can refund the full amount or a partial amount if you need to keep a fee your policy allows.
- Restock: keep the restock option ticked if the items are still on your shelf, so your inventory count stays correct.
- Reason: select the reason: customer changed or cancelled order, fraudulent order, items unavailable, payment declined, or other. Honest reasons make your reports useful.
- Notify: keep "Send a notification to the customer" ticked unless you have already spoken to them.
- Click Cancel order to confirm.
Tip: before confirming, add a short note to the order timeline explaining why it was cancelled. Six months later, when the customer emails again, you will be glad it is there.
What if the order is partly or fully fulfilled?
Shopify does not let you cancel a fulfilled order in the normal way, because the items may already be on their way. Handle it like this instead:
- Not shipped yet: cancel the fulfillment first. If you bought a shipping label through Shopify, void it if the carrier allows. Then cancel the order as usual.
- Already shipped or delivered: create a return from the order page. When the items arrive back, restock them and issue the refund.
- Partly fulfilled: refund only the unfulfilled items using the Refund button, and leave the shipped items in place.
Cash on delivery (COD) orders
For COD orders no online payment was captured, so there is nothing to refund to a card. Cancel the order, restock the items and tell your courier or shipping partner straight away, so the parcel is not dispatched or is returned to you. If you see many COD cancellations, confirm COD orders by phone or WhatsApp before packing them.
Cancelling a suspected fraudulent order
Shopify's fraud analysis on the order page flags risky orders. Warning signs include very different billing and shipping countries, several failed card attempts, an unusual email address, or a large first order with express shipping to a forwarding address.
- Do not fulfill the order while you investigate.
- If you decide to cancel, refund the full payment, choose Fraudulent order as the reason, and restock.
- Consider not sending the default notification and instead send a short neutral message that the payment could not be verified (a template is included in the download).
Never ship first and hope for the best. A chargeback costs you the product, the shipping and a dispute fee.
Refund timing and fees
- Shopify sends refunds immediately, but banks usually take several business days to show them.
- Payment processing fees are generally not returned when you refund. Factor this into your cancellation policy.
- If a customer says the refund has not arrived, check the refund on the order timeline and share the reference with them.
Write a better cancellation message
Shopify's default cancellation email is functional. A short personal note works better, especially when the cancellation is on your side. Explain what happened, confirm the refund amount and timing, and offer an alternative if you can:
Hi Meera, We're sorry - the large white ceramic planter in order #2087 cracked during our final quality check, and it was our last one. We've cancelled the order and sent a full refund to your original payment method. It usually appears within a few working days. We have the same planter in sage green ready to ship today. Reply "yes" and we'll send it with free delivery. Team Clay & Leaf

Prevent cancellations in the first place
- Keep inventory accurate, especially if you also sell in a shop or on marketplaces.
- Show delivery times on product pages so the date does not surprise anyone.
- Make sizing easy to find to reduce "wrong size" cancellations.
- Confirm COD orders before dispatch if returns to origin are costly for you.
- Publish a clear cancellation and refund policy and link it in your footer.
Learn from your cancellation reports
Every few weeks, filter your orders by cancelled status and look at the reasons. Mostly "items unavailable"? Fix stock syncing. Mostly "customer changed mind"? Look at delivery speed and how clear your product pages are. Frequent fraud? Review your checkout and fraud settings.

Frequently asked questions
Can I undo a cancelled order in Shopify?
No. A cancelled order cannot be reopened. If you cancelled by mistake, create a new draft order with the same items for the customer and send them an invoice or payment link.
How long does a Shopify refund take to reach the customer?
Shopify sends the refund immediately, but banks and card issuers usually take several business days to show it, sometimes up to around 10. UPI and wallet refunds are often faster, depending on the provider.
Do I get payment processing fees back when I refund?
Usually not. With many payment providers, including Shopify Payments in most regions, the original processing fee is not returned on refunds. Check your provider's current terms.
Can I cancel an order that has already been fulfilled?
Not with the normal cancel option. If the parcel has not left, cancel the fulfillment first (and void the shipping label if possible). If it has shipped, create a return and refund the customer once the items come back.
Should I always notify the customer when cancelling?
In almost every case, yes. A clear cancellation email with refund details prevents confusion, support messages and chargebacks. Only skip it if you have already explained everything to the customer personally.
